3788123 - How to Configure Group-Based Multi-Level Approvals in Purchase Order Flexible Workflow

• Issue with configuring group-based approvals in Purchase Order Flexible Workflow in S/4HANA Cloud Public Edition.
• Unable to assign groups of users directly in the step condition.
• Purchasing Groups, custom Function Categories, and Team Types are not available for selection as recipients.
• Only standard recipient options (for example, Manager, Role, or standard Team-based options) are available.

SAP S/4HANA Cloud Public Edition

1. Create Purchasing Groups to represent departments.
2. Create custom Function Categories, Functions, and Team Types.
3. Configure workflow steps in “Manage Workflows for Purchase Orders” based on amount thresholds.
4. Attempt to assign these custom groups in the “Recipient” field and observe they are not selectable.

• Direct assignment of user groups such as Purchasing Groups or custom Team Types as workflow step recipients is not supported in the Purchase Order Flexible Workflow.
• Custom Functions were not visible because they were not assigned to the relevant Function Profile; only Functions assigned to a Function Profile become available in Responsibility Management and can be used via team-based recipients.

   three parts:

  1. Define Functions and Function Profiles
  2. Assign members and functions in the Manage Teams and Responsibilities app
  3. Select the function as recipient in the workflow step
