Symptom
- Calibration session with more than 20 employees runs a background job and sends a hard-coded email to participants.
- The calibration template “auto route…” threshold is set to 80, but the system still runs the job at 20 employees.
- The tooltip next to the field states the job runs after 20 employees, which conflicts with documentation that mentions 50 as recommended.
- The specific email isn’t available under Email Notification Template Settings and may display HTML tags in the signature.
Environment
- SAP SuccessFactors Performance & Goals
Reproducing the Issue
- Go to Admin Center > Manage Calibration Templates.
- Open the relevant template and go to Advanced Section.
- In Thresholds, locate “The auto route form during finalization and force completion for large calibration sessions.”
- Set/confirm the value (for example, 80).
- Create or use a calibration session with more than 20 but fewer than the configured value.
- Finalize the session and observe that a background job runs and a system email is sent once the session exceeds 20.
Cause
- By design, the effective threshold for auto-routing via background job is capped at 20. If the configured threshold is 20 or greater, the system uses 20 to decide to run the job; if it is less than 20, the configured value is used.
- Certain calibration notifications (for approving/reopening) are hard-coded and not configurable; their signature does not support HTML and may display HTML tags.
Resolution
- 20 participants are processed by a background job by design. To avoid the job, keep sessions at 20 or fewer, or set the threshold to a value below 20 and keep the session size below that value.
- To suppress related emails (when available): disable the “Notify Calibration Participants of Session Finalization” notification to prevent job-related notifications from being sent.
- Improve signature readability until enhancement: avoid HTML in the Email Signature. Open your HTML signature in a browser, copy the rendered content (not the HTML source), and paste it into Admin Center > Email Notification Template Settings > Email Signature > Email Body, then save.
- If the specific notification template is editable, remove the [[SIGNATURE]] placeholder from that email’s body to exclude the signature. Note: hard-coded calibration emails cannot be edited.
- An enhancement is planned to add HTML support for the affected calibration emails’ signature in a future release: H2 2026 release (B2611).
