3793550 - Inconsistency At Payroll When Existing Absence Is Edited in EC Time Off

When an approved absence is edited in EC Time Off, its status changes from Approved to Pending.

A proxy record is then created for the pending absence, which leads to the deletion of the previously approved absence on the Payroll side. This results in an inconsistent state between EC Time and Payroll.

• This is a known behaviour where pending absences are considered active absences and therefore reduce the employee's absence balance. However, only approved absences are replicated to Payroll. 
• EC Time uses "Pending Data = No" method for workflow status handling where the record is active as soon as it is created or in pending status, but Payroll requires that the record must be set to active only when it is approved.

• Workaround is to use a Take Rule that prevents employees from editing approved absences in Time off ESS UI, and assign it to the time type. (Refer screenshot below):
• With this configuration, administrators can still edit approved absences. Since administrator changes typically do not trigger a workflow, the absence remains approved and is replicated to Payroll immediately, thereby avoiding any inconsistency.
