3795083 - Approval Flow Navigator Displays All Approval Steps Regardless of Conditions

Symptom

The Approval Flow Navigator displays all configured approval steps, including steps whose routing conditions are not met.

  • Approval steps that do not apply to the current case remain visible in the navigator.
  • Non-applicable steps are displayed with the status Not Applicable.
  • These steps are skipped during approval processing but continue to appear in the approval flow view.

Environment

  • SAP Sales Cloud and SAP Service Cloud Version 2

Reproducing the Issue

  1. Open a case with an approval process containing multiple approval steps and conditional routing logic.
  2. Select Submit for Approval.
  3. Open the Approval Flow Navigator.
  4. Expand the approval step list.

Result

  • All configured approval steps are displayed.
  • Steps whose routing conditions are not met remain visible and are marked Not Applicable.

Expected Result

  • Only approval steps applicable to the current case are displayed in the navigator.

Cause

This behavior is by design.

The Approval Flow Navigator displays the complete approval process definition at submission time. Routing conditions determine whether a step is executed during approval processing, but they do not control step visibility within the navigator.

During runtime evaluation, approval steps whose conditions are not met are automatically marked as Not Applicable and skipped. However, they remain visible in the navigator to provide a complete representation of the configured approval workflow.

Resolution

The Approval Flow Navigator is designed to display all approval steps configured within the approval process, regardless of whether individual routing conditions are satisfied.

Key considerations:

  1. Approval step visibility is based on the workflow definition.
  2. Routing conditions control step execution, not navigator display.
  3. Steps that do not meet their conditions are automatically marked Not Applicable and bypassed during processing.
  4. There is currently no standard configuration available to dynamically hide non-applicable steps from the Approval Flow Navigator.

If the ability to display only applicable approval steps is required, submit an enhancement request through the SAP Customer Influence Portal.
