Symptom
SAP SuccessFactors supports Digital Adoption Platforms (DAP), including the legacy SAP Companion integration based on SAP Enable Now and the current WalkMe embedded solution, to deliver guided tours and contextual help to end users. The standard guided content available in SAP SuccessFactors is authored and maintained exclusively by SAP. Information is required on whether the text and labels in the standard tour guides can be customized, which product modules are currently covered by SAP-managed guided tours, and how to obtain a license to create and manage customer-specific guided content.
Environment
- SAP SuccessFactors Onboarding
- SAP SuccessFactors Platform
Resolution
This article covers two related topics: the customization capabilities of SAP-managed tour guide content, and the process for obtaining a license to create customer-owned guided content in SAP SuccessFactors. The behavior described below applies as of the 1H 2025 release, when WalkMe became the standard embedded DAP. The legacy SAP Companion integration based on SAP Enable Now follows the same constraints regarding standard content editability.
Standard SAP-Managed Tour Guide Content
The standard guided tour content delivered by SAP, whether through WalkMe or the legacy SAP Companion layer, is created and maintained exclusively by SAP. It is not possible for customers to edit, rename, or modify the text, labels, or steps of the standard tours. This is a product limitation that applies to all SAP-managed content.
Note: As of the 1H 2025 release, the SAP-managed WalkMe guided tour library covers the following product areas: People Profile, Continuous Performance Management, Goal Management, Career Development, and Learning. There is currently no SAP-managed guided tour available for the Onboarding module. For the current SAP-managed tour catalog, refer to WalkMe Guided Tours Now Available in SAP SuccessFactors Applications.
Creating Custom Guided Content
To create and manage custom guided tours in SAP SuccessFactors, a separate commercial license is required. SAP SuccessFactors Technical Support cannot provision or grant access to either option; licensing must be arranged through the SAP sales channel by contacting your SAP Account Executive or salesperson.
Two licensing options are available:
- WalkMe Premium: Enables customers to create and manage their own guided content within the SAP SuccessFactors application. To purchase, contact your SAP SuccessFactors Account Executive. For integration details, refer to Changed Connectivity to WalkMe from SAP SuccessFactors.
Important: SAP SuccessFactors-managed content and customer-managed content cannot be active simultaneously. Enabling customer-managed WalkMe content disables the SAP-managed tours for all users in the system.
- SAP Enable Now: A standalone SAP product used to author contextual guided content, including for the legacy SAP Companion integration. Requires a separate SAP Enable Now license. Contact your SAP Account Executive to initiate the procurement process.
After the appropriate license is acquired and configured, custom guided content can be created and deployed to end users within SAP SuccessFactors. If WalkMe Premium is chosen, the SAP SuccessFactors-managed tour content will no longer be visible to users until customer-managed content is disabled.
