3802286 - Workflow Schema and Related Tables Not Available in Story Report Query Designer — Employee Central License Required

Symptom

  • The Workflow schema and its related tables are not visible in the Available Data section of the Story Report Query Designer.
  • The issue persists even after granting the user "Unconditional access to complete organizational data in Story reports" permission.
  • No Workflow-related objects or fields can be selected when creating or editing a Story Report query.
  • Other schemas (non-EC) are visible and accessible to the same user without issues.

Environment

  • Data Modelling - Module & Entity Data Issues

Reproducing the Issue

  1. Log in to the SAP SuccessFactors instance that does not have an Employee Central (EC) license.
  2. Navigate to Report Center.
  3. Create a new Story Report or edit an existing one.
  4. Open the Query Designer.
  5. In the Available Data section, attempt to locate the Workflow schema or any Workflow-related tables.
  6. Observe that the Workflow schema and its tables are absent from the list.
  7. Confirm the issue persists even after verifying the following permissions are assigned to the user's role:
    • Reports → Create Story (with all available schemas selected)
    • Unconditional access to complete organizational data in Story reports
    • Administrator → Manage Workflows → Report Workflow Process Details (if applicable)

Cause

The Workflow functionality in SAP SuccessFactors — including its schema, configuration objects, and related reporting tables — is part of the Employee Central (EC) module. The Workflow engine and its underlying data structures are only provisioned in instances that hold an active Employee Central license.

As a result:

  • The Workflow schema is not provisioned in non-EC instances.
  • Role-Based Permissions (RBP), including "Unconditional access to complete organizational data in Story reports", can only control access to schemas that exist within the instance. They cannot surface schemas that are not provisioned.
  • This is a licensing and provisioning limitation, not a permission or configuration issue.

Resolution

If no EC license exists: The Workflow schema cannot be made available in Story Reports. To gain access, the organization must procure an Employee Central license.
