Symptom
Offer letter tokens for Start Date / End Date are not resolving on offer letter template
Environment
SAP SuccessFactors Recruiting Management
Reproducing the Issue
- Open a candidate application in Recruiting and Send Offer Letter.
- Select Offer Letter Template
- Proceed to the preview step.
- Observe that Start Date and End Date tokens display no data
Cause
- Reserved field IDs customDate1 to customDate10 were used for custom date fields intended to reference Job Application data in the Offer Approval/Offer Letter configuration.
- Values were stored on the Offer Approval entity as standalone fields, while token resolution searched the Job Application reference, resulting in no data found.
Resolution
- Do not use the reserved field IDs customDate1 to customDate10 for custom date fields that should reference Job Application data.
- Create unique, non-reserved field IDs for these fields e.g. custStartDate
- Update the Job Application template and the Offer (Offer Approval/Job Offer Detail) template so the corresponding field definitions exist and the field IDs match exactly across templates.
- Update the offer letter tokens to reference the correct field IDs based on the intended data source (for example, JOB_APPLICATION_ when pulling from the Job Application).
- Ensure the relevant fields are set as reportable, as required for token resolution.
- Save the configuration and re-test by generating the offer letter preview.
