Symptom
- An error occurs when creating or updating purchase orders.
- Error message: "A proper workflow definition could not be found."
Environment
SAP S/4HANA Cloud Public Edition
Reproducing the Issue
- Open the Manage Purchase Order app.
- Attempt to create or update a purchase order.
- Save or submit the document and observe the error: "A proper workflow definition could not be found."
Cause
The purchase order workflow start conditions combined with AND, requiring multiple conditions to be met simultaneously; the purchase order details could not satisfy all conditions, so no valid workflow definition was found.
Resolution
- Review the configuration of the purchase order workflow.
- Check the start conditions of the workflow.
- Check the step conditions of each relevant workflow step.
- Ensure conditions are correctly separated with OR or AND as intended; for mutually exclusive criteria, use OR so that at least one path can be evaluated as true.
- Adjust the conditions so that the workflow can be determined for the given purchase order details.
- Activate the updated workflow configuration.
- Retest creating or updating a purchase order in production to confirm the error no longer occurs.
Note: In case the Start conditions are having custom conditions then your developers have to debug the BAdi to fix the issue
Kindly ask developers to use ADT to debug using User SAP_WFRT for all workflow issues
