3828101 - How to check the Data Retention anchor date of a Credit Card transaction

Symptom

To determine when a credit card transaction becomes eligible for deletion under Data Retention rules, first identify if the card transaction is unassigned or on an expense report. Then determine its anchor date.

  1. Step 1: Is the Credit Card transaction on an expense report?
    1. Yes - If a credit card transaction is assigned to an expense report, its age is based on the age of the report [See Knowledge Base Article "How to check the Data Retention anchor date of an Expense Report"].
    2. No - If a credit card transaction is unassigned, its age is calculated from the posted date to the current date. Unassigned transactions are deleted after 23 months by the 23-month filter.
  2. Step 2: Determine the Anchor Date
    1. The anchor date is used to calculate the credit card transaction's age and is based on the Posted Date. You can retrieve this information by querying the CT_CREDIT_CARD_TRANSACTION table and reviewing the POSTED_DATE field.
Credit Card Transaction Anchor Date:
The age of a credit card transaction is calculated based on the number of months between the Posted Date (POSTED_DATE) and the current date.

Expense Report Anchor Date:
The age of an expense report is calculated based on the number of years between the Paid Date (PAID_DATE) and the current date. If no Paid Date exists, the Creation Date (CREATION_DATE) is used instead.
Note: If the Data Retention Time Basis is set to Year-End, data will not be deleted until the specified year-end date.
