Symptom
- For terminated employees whose Last Working Day has already passed, the employee becomes inactive in the system, but the offboarding process is not initiated automatically as expected.
- The behavior can occur when the termination is processed or backdated after the relevant backend synchronization has already run.
Environment
SAP SuccessFactors Onboarding
Reproducing the Issue
- Select an employee who is active in the system.
- Terminate the employee with a Last Working Day.
- Allow the Last Working Day to pass.
- Check the employee status and offboarding process.
- Observe that the employee becomes inactive, but the expected offboarding process is not initiated.
- The behavior may depend on the timing of the termination data in relation to the backend synchronization/job.
Cause
- This is expected behavior based on the timing of the termination and the backend synchronization job.
- If the termination is processed or backdated after the relevant backend synchronization has already run, the termination will be processed successfully and the user will become inactive. However, the user will not be available in the Offboarding Dashboard/process, as the offboarding process.
Therefore, the inactive status of the user is expected, while the user not being available for further offboarding processing is also expected in this scenario.
Resolution
- For future terminations, use future-dated termination information and ensure that the termination is processed within the appropriate processing window before the relevant backend synchronization runs.
- For employees where the offboarding process has already been missed, the candidate will not be available in the Offboarding Dashboard after the backend job has run.
- Although the corresponding Pending Tasks tile may still be displayed, the task cannot be completed. When the user attempts to access the task, the page remains in a loading state and the offboarding task cannot be processed.
- Once the backend synchronization has processed the termination and the employee has become inactive, the employee will also no longer be available in the Offboarding Dashboard.
Therefore, for future terminations, ensure that the termination is future-dated, so that the offboarding process can be initiated and completed as expected.
