3832802 - Monitor Purchase Requisition Items shows fully consumed PR items with open quantity 0

In the Monitor Purchase Requisition Items app, Purchase Requisition items remain visible although corresponding Purchase Orders are created and Open Quantity is 0.

SAP S/4HANA Cloud Public Edition

1. Open the Monitor Purchase Requisition Items app.
2. Locate PR items with the following attributes:
3. Observe that these fully consumed PR items are still displayed in the app.

1. • Status: Release Completed (05)
   • Requisition Processing Status: PO Created (B)
   • Open Quantity: 0
   • Ordered Quantity: Fully consumed

The Monitor Purchase Requisition Items app is designed to display all PR items that have not been explicitly Closed or Deleted. Specifically, a PR item is excluded from this app only when one of the following two conditions is met:

1. The Closed indicator is set on the PR item, which happens only when a purchaser explicitly performs the Close action in the app. 
2. The Deletion indicator is set on the PR item, which happens only when a purchaser explicitly deletes the item.

To remove fully consumed PR items from the monitor, we recommend the following:

Option 1 — Manually close the PR items

1. Open the Manage Purchase Requisitions - Professional app.
2. Search for the relevant Purchase Requisitions.
3. Select the fully consumed PR items (Open Quantity = 0, Processing Status = PO Created).
4. Choose Quantity and Date, tick the box Purchase Requisition Item is Closed.
5. Apply and Save.

Once closed, these items will no longer appear in the Monitor Purchase Requisition Items app.

Option 2 — Use filters in the Monitor app as a workaround

If you do not wish to close the PR items at this time, you can apply the following filters in the Monitor app to focus only on items that still require action:

- Set Open Quantity filter to values greater than 0, or
- Filter by Requisition Processing Status and exclude "PO Created (B)" items.

This will effectively hide the fully consumed items from your current view without formally closing them.
