3833310 - Error when trying to update existing Dependent Record

Symptom

Receiving error "A system error occurred. Please try again later. If this issue persists, please contact Technical Support for assistance." when trying to update existing Dependent Record.

Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.

Environment

  • SAP SuccessFactors HCM Suite
  • SAP SuccessFactors Employee Central

Reproducing the Issue

  1. Go to Employee Profile
  2. Personal Data > Dependents
  3. Select an existing Dependent record > Edit
  4. Update fields
  5. Save
  6. Error displayed: A system error occurred. Please try again later. If this issue persists, please contact Technical Support for assistance.

    Cause

    When editing an existing dependent's details, the system creates a new record with the updated values and carries over any unchanged values from the previous/existing record. As part of this process, the system also retrieves all dependent-related data from the database, including address information (homeAddress), which is already in the system for this dependent.

    However, homeAddress element is currently disabled for dependents in Manage Business Configuration, and the "Disabled Under Dependents Section" option is set to "Yes" on the Global homeAddress HRIS element. Because of this, the system is unable to validate the existing address data during the save process, which triggers the error.

    It is likely that the address was added when the dependent was first created, and the homeAddress element was disabled at a later stage.

    Note: disabling the element does not remove the existing data from the database, and this retained address information is causing the error when attempting to save edits to the dependent's record.

    Resolution

    1. In Manage Business Configuration, temporarily enable the homeAddress element for dependents and set the "Disabled Under Dependents Section" option to "No" on the Global homeAddress HRIS element;
    2. Remove the dependent's address information either by performing an import using the DELIMIT operation or by running a Compound Delete for the homeAddress element;
    3. Once the address information has been successfully removed, disable the homeAddress element for dependents again in Manage Business Configuration;
    4. Try creating or editing a dependent record for the affected user to confirm the issue is resolved.

    Please note that setting the "Disabled Under Dependents Section" option to "No" will allow all end users with the relevant permission to add address information for dependents. To avoid unintended changes, we recommend making this update outside of working hours or temporarily removing end users' permission to edit dependents in the meantime.

    To prevent this issue from recurring, you can identify all affected dependent records by extracting dependent address data through a Canvas or Story report and removing the unnecessary address information accordingly. If you need help creating this report, please reach out to your implementation partner or our Professional Services team.
