When user is attempting to delete a Hire Template version in Manage Data, the error is seen:

"There are still pending hire drafts using this hire template. This template cannot be deleted or inactivated."

SAP SuccessFactors Onboarding

1. Go to Manage data.
2. Select "Hire Templates" and search for the desired one.
3. To the left hand side, under "History" you will see the latest version date, which needs to be permanently deleted so that the last version before that will be active again.
4. Error is seen "There are still pending hire drafts using this hire template. This template cannot be deleted or inactivated."

The Hire Template version is being used by one or more saved hire drafts.

The system does not allow the Hire Template version to be deleted or inactivated while saved drafts are still associated with it. The drafts must be removed before the template version can be deleted.

Support can run an internal script to remove the saved hire drafts associated with the affected Hire Template version.

Important: Deleting the drafts permanently discards the saved candidate data contained in those drafts. Customer approval is therefore required before Support runs the script.

Alternative option

If customer does not want to discard the existing drafts, they can create a duplicate Hire Template containing the required changes and assign the duplicate template to the appropriate Hire Template Rule.

Keep in mind:

• The new template will apply to new candidates.
• Existing candidates who already have a saved draft will continue using the existing template associated with their draft.
• The existing template will continue to be used until the candidate's data collection is submitted.

Information Required to Engage Onboarding Support

If the customer confirms that they want to delete the saved drafts so the current Hire Template version can be deleted, create a case with Onboarding Support and provide the following information:

1. Impacted Environment ID
2. Support user access
3. Replication steps, including:
   1. Which Hire Template is impacted
   2. Which version is being deleted/inactivated
   3. The steps used to reproduce the error (we need to attempt to delete the impacted template to get backend logs)
4. Customer approval to delete the saved drafts, confirming that they understand the drafts will be discarded

Onboarding Support will first review the backend logs to confirm that saved drafts are associated with the affected Hire Template version. If the saved drafts are confirmed and the customer has provided approval, Support can proceed with the internal script to remove the drafts. Once the drafts have been removed, customer can retry deleting or inactivating the Hire Template version.
